When you create an account or sign in to our services, we collect identity and contact details (such as your name, work email and phone number) so we can verify you and communicate with you. All data is stored on UK-region Azure infrastructure and sensitive fields are encrypted at rest. We log IP addresses on sign-in for security and audit purposes, in line with UK GDPR.

Data we store:

• Identity attributes returned by your identity provider (Microsoft Entra ID, Google Workspace, NHS CIS2, or passkey credential), email and phone number — used solely to identify and contact you.
• Operational logs (IP, browser, sign-in events) — retained for security, audit and incident investigation.
• Service usage statistics (tokens, transcription minutes) — never the content of your clinical work.
• We do not sell or share personal data with third parties for marketing.

Your rights:

You may request access, correction or deletion of your data at any time by contacting EIR Tech LTD. Requests are handled in line with UK GDPR and the Data Protection Act 2018.
